First-Time Login to VIDA: Setting Up Two-Factor Authentication (2FA)

Why do I need to do this?

To keep your account and content secure, VIDA requires two-factor authentication (2FA) for all users.

Two-factor authentication means you need two things to log in:

  1. Something you know – your email address

  2. Something you have – your mobile phone, using an authenticator app

Instead of sending a code by text message, VIDA uses an authenticator app. This app generates a short six-digit code on your phone. The code refreshes every 30 seconds. You enter the current code when prompted to confirm it’s really you.

Setting this up is required before you can access VIDA, Launchpad or Connect 2.

What you will need before you start

  • Your VIDA account email address

  • A smartphone (iOS or Android)

  • An authenticator app installed on your phone

Common authenticator apps include:

  • Google Authenticator

  • Microsoft Authenticator

  • Authy

All major authenticator apps are supported.

Step 1: Log in to VIDA

  1. Open the VIDA login page using the link provided in your email

  2. Enter your email address

  3. Select Log in

You will receive the login link in your email.

On your first login, VIDA will automatically prompt you to set up two-factor authentication.

Step 2: Choose how to set up 2FA

When prompted, select Authenticator App.

This is the recommended option and provides the best experience.

Step 3: Confirm whether you have an authenticator app

You will be asked:

“Do you already have an authenticator app installed?”

If you already have an app installed

Select “Yes, app installed” and continue to Step 4.

If you do not have an app installed

Select “No, I need the app” and click here to see our guide

Step 4: Scan the QR code with your authenticator app

If you selected “Yes, app installed”, VIDA will display a QR code.

  1. Open your authenticator app on your phone

  2. Look for an option such as:

    • Add

    • +

    • Scan QR code

  3. Use your phone to scan the QR code shown on the VIDA screen

Once scanned, your authenticator app will create a new entry for VIDA and display a six-digit code.

Step 5: Enter the code into VIDA

  1. Look at your authenticator app

  2. Enter the six-digit code currently shown

  3. Select Finalise

The code refreshes every 30 seconds.
Always enter the latest code shown in the app.

✅ Once complete, you will be logged in and able to access VIDA.

You may be asked to enter a code again:

  • When logging in from a new device

  • When performing sensitive actions in VIDA

Common questions

Will I need to do this every time I log in?

Not always. VIDA may ask for a code occasionally, especially when:

  • Logging in from a new device

  • Performing security-sensitive actions

What if the code doesn’t work?

  • Make sure you are entering the current code

  • Wait for the code to refresh and try again

Does the authenticator app need internet or mobile signal?

No. Authenticator apps work offline.

Need help?

If you are unable to complete setup, contact your VIDA administrator or raise a support ticket.
Please include:

  • A screenshot of the screen you are on

  • Any error message shown
