Requesting Deletion of an Asset

Created by Dimi, Modified on Thu, 22 Oct at 6:01 PM by Dimi

Flag one or more assets for deletion so the right person can review your request — without deleting anything yourself.

Getting Started with VIDA

Overview

If you can't delete assets from VIDA yourself, you can still ask for it. Request deletion marks an asset as one you would like removed and records who asked, when, and why.

Requesting deletion does not delete anything. Someone with permission to delete assets reviews the request and either deletes the asset or cancels the request.

Before You Begin

You will need
  • Permission to request deletion. If you don't see Request deletion in the menus below, ask your VIDA administrator to add it for you.
  • A short reason. VIDA won't let you send the request without one, and it helps the reviewer decide quickly.

Step-by-Step Instructions

Request deletion of a single asset

  1. Open the asset's details page.
  2. Open the asset's three-dot menu.
  3. Select Request deletion.
  4. Type your reason in the Reason box.
  5. Select Confirm deletion request.

Request deletion of several assets

  1. In the asset grid, tick the assets you want to request deletion for.
  2. At the bottom of the screen, open the three-dot menu next to Batch update.
  3. Select Request deletion. The number in brackets shows how many of your selected assets will be flagged, for example Request deletion (21 assets).
  4. Type your reason in the Reason box. The same reason is saved against every selected asset.
  5. Select Confirm deletion request.
Good to know
  • Assets that already have a request are left out of the count and are never flagged twice.
  • If you have selected every result across all pages, the menu shows Request deletion (All).
  • For more than 1,000 assets at once, VIDA asks you to confirm with your two-factor code before it carries on.

Cancel a request

If you asked by mistake, or the asset should be kept, you can cancel the request before it is actioned.

  1. Open the asset, or tick the assets in the grid.
  2. Open the three-dot menu and select Cancel deletion req. (on the grid it shows the number of assets, for example Cancel deletion req. (3 assets)).
  3. Confirm when VIDA asks Are you sure you want to cancel the deletion request?
Tip

On the grid, Cancel deletion req. only works on assets you ticked yourself. If you used “select all results” across pages, the option is greyed out — tick the assets you want instead.

Expected Result

What you should see

VIDA shows a progress message while it saves your request. The asset then shows Yes in the Deletion requested column (if that column is on your grid), and its menu now offers Cancel deletion req. instead of Request deletion.

The asset itself is unchanged until someone reviews your request.

Troubleshooting & FAQs

I can't see Request deletion. Why?

It is only shown to people whose account has permission to request deletion. Ask your VIDA administrator, or contact VIDA Support, to have it added.

Does requesting deletion delete the asset?

No. It only flags the asset. Nothing is deleted until someone with permission to delete assets reviews the request and chooses to delete it.

Can I cancel a request someone else made?

Yes. Anyone who is allowed to request deletion can cancel a pending request, whoever made it. Check with your team before cancelling a request you didn't make.

Will I be told when my request is actioned?

No. VIDA doesn't send the requester a message when a request is deleted or cancelled. To check, look at the Deletion requested column on your asset grid, or ask the person reviewing requests.

How do I see which assets have been requested, and why?

Use the Deletion requested filter (Yes / No), and add the columns Deletion request reason, Deletion requested by and Deletion requested at to your grid. If you can't find them, contact VIDA Support and we will add them to your view.
